AI & Data Processing Disclosure

This disclosure explains how Dossier AI uses service providers for AI-related processing. It supplements our Privacy Policy and Terms of Service.
Overview
Dossier AI is an AI-powered memory tool. To deliver its core features, the App sends content you provide to third-party service providers for processing. These providers operate infrastructure and AI models that we do not control directly. AI processing is used to operate the product, not to provide professional medical, legal, financial, therapeutic, employment, or emergency advice.
What Processing Happens
Depending on which features you use, your content may be processed for the following purposes:
Transcription
When you record audio, the App sends your audio data to a transcription service provider. The provider converts the audio into text. Both the audio and the resulting transcript may pass through the provider’s infrastructure.
Optical Character Recognition (OCR)
When you upload images or documents, the App may send those files to an OCR service provider to extract readable text. The extracted text is returned to the App and stored as part of your memory data.
Information Extraction
Your briefs, transcripts, and other text content may be sent to an AI provider to extract structured information: people mentioned, projects, decisions made, open loops, and other entities relevant to your memory. The provider returns extracted metadata that the App stores alongside your content.
Embeddings and Semantic Search
To enable retrieval and search across your memory, the App generates vector embeddings of your content. These embeddings are produced by an embedding model provider. The embeddings are stored in the App’s database and used to find semantically similar content when you search or query your data.
Summarization
The App may generate summaries of your briefs, projects, or conversations. Content is sent to an AI provider that produces a summary, which is then stored in the App.
Debrief (Conversational Query)
When you use the Debrief feature to ask questions about your memory data, the App sends your query and relevant retrieved content to an AI provider. The provider generates a response based on your data. Conversation history is stored in the App for up to 90 days.
Web Meld
If Web Meld is available and you explicitly enable it for a Debrief, Dossier AI may use one provider call to retrieve public web evidence from your typed query and a separate provider call to combine selected memory snippets with sanitized web facts. Web Meld is designed so private memory is not sent to the web-search provider.
Data Sent to Providers
The specific data sent depends on the feature used, but may include:
- Audio recordings
- Images and uploaded documents
- Text from your briefs, transcripts, and notes
- Previously extracted entities and metadata
- Your chat queries and conversation context
- Provider-safe metadata such as request identifiers, token counts, feature names, and error categories
What Providers Do With Your Data
We select providers that offer data processing terms intended to protect user data. However, provider policies, practices, and infrastructure are outside our direct control. We cannot guarantee that every provider never retains, logs, or uses data for purposes beyond those specified in our agreement with them. Provider policies may change over time.
Dossier AI's own training and improvement use depends on your tier. Audio recordings are never used by us for model training. Free-tier content and metadata may be used to operate, maintain, analyze, improve, evaluate, and train Dossier AI systems and AI features. Dossier Plus content is excluded from Dossier AI's model-training and model-improvement pipeline. Whether an external provider retains or uses data is governed by that provider's policy, endpoint, contract, and configuration.
No Human Review by Default
Dossier AI is designed so humans do not read your private memory content during ordinary operation. Human access may occur only when necessary for support at your request, security investigation, legal compliance, abuse prevention, or internal operations using aggregated or de-identified information where appropriate.
Accuracy and Safety Limits
AI-generated output can be wrong. It may mishear audio, misunderstand documents, confuse people, infer relationships incorrectly, omit important context, or generate a confident answer that is not supported by your data. You are responsible for reviewing output before relying on it, especially for important personal, professional, legal, financial, health, employment, or safety decisions.
Data in Transit and at Rest
Data sent to providers is transmitted over encrypted connections (HTTPS/TLS). Data stored within the App infrastructure is encrypted at rest. Providers may apply their own encryption and security practices, which vary by provider.
Retention
- Original audio and file uploads are retained by Dossier AI for up to 90 days, then deleted from App storage.
- Chat and Debrief history is retained by Dossier AI for up to 90 days.
- Transcripts, extracted text, embeddings, and derived memory records remain part of your account until deleted or until your account is deleted.
- Provider-side retention may differ and may include security, abuse-monitoring, backup, or legal-retention periods outside our direct control.
Google-Connected Features
If you use Google Sign-In or any future Google-connected feature, Dossier AI's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, data brokerage, creditworthiness, or resale.
Opting Out
AI processing is integral to the App’s core functionality. You cannot opt out of AI processing while using the features that require it. However, you can choose which features to use: for example, you can use the App without recording audio, without uploading files, or without using Debrief.
If you do not want your data processed by AI service providers at all, you should not use the App. You may delete your account and data at any time through the Account & Data Deletion process.
Changes
We may update this disclosure as our processing practices, AI features, provider relationships, retention settings, or tier policies change. Material changes will be reflected in the last-updated date above and communicated through the App where required.
